Your Tour Director's Role

A Trained And Certified Professional  Terence accommodates the passengers' needs on behalf of the Tour Operator.  As the face of the Tour Operator, he becomes the operator, conductor, director, and all around producer that brings home the Oscar for Best Accommodations on A Tour.  He motivates, encourages, and nurtures, making sure everyone enjoys him/herself.     

An Astute Observer  The Tour Director qualifies the Tour Operator when he functions well and prospers in the line of his duties.  As the eyes for the group, he sees passenger needs before they arise.  

A Quality-Control Expert It is not uncommon to work 15-hour days, remaining on call 24/7 at the service of passengers.  In the event of medical emergencies, road closures or mechanical breakdowns contingency planning is paramount.

A Servant Of  The People Terence provides ample opportunity for fun, exploration, discovery, and learning through patience, natural enthusiasm, talents, and refined skills (see resume).  He shares crucial and fun-facts, ideas, and new perspectives on the journey, while freeing your clientele from the day-to-day worries and responsibilities of the logistics of leisure travel.

Per Tour Operator
Each Tour Operator or DMC / DMO runs their business differently and at different economic levels.   I am flexible to work per individual TO to determine the best economical fit for both parties.

Per Person or Small Group Per Day

For individual or small-group tours under 10 people, the Tour Director offers a set rate based on the details and accommodations that are customized to your needs.  Once we hear from you with your details for a package, a price quote can be offered.

  • Airline tickets night before and after tour begins/ends or
  • Reimbursement: own vehicle mileage

  • Lodging:  night before & night tour ends (second night on longer transcontinental flights), unless arrival at home is by 7 pm.
  • Meal allowance for travel time
  • On-Tour Costs: Meals, Lodging, Required excursions and entry fees when accompanying passengers

TOUR DIRECTOR RESPONSIBILITIES
  • Research multiple sources to formulate commentary: technical, scientific, linguistic, cultural, and historical.
  • Prepare outlines through notes to present information about sights, flora and fauna, infrastructure and topography for presentation to groups up to 50 people in French, Spanish, English, Italian
  • Present materials through games, metaphors in mythos story-telling, analogies, materials, etc. Utilize multimedia resources: DVDs, maps, CDs, music, large picture books and park guides, question & answer session.
  • Handle with empathy, care and concern passenger’s needs and concerns.
  • Promote excursions and side tours, outfitters’ products and interpretive services, often for commission. Explain recreational opportunities, activities, media resources. Handle cash sales accordingly. Daily account reporting.
  • Create and manage interpretive and promotional props, signs, handouts to communicate multicultural and environmental / historical facts / education.

  • Make comparative analysis through question & answer sessions about similar concepts or about natural resources in the visitor’s homeland, while explaining responsible stewardship to the natural environment we visit.
  • Handle all travel, food, lodging logistics with vendors on the road and behind the scenes: accounting, itinerary and schedule preparation and fulfillment, daily reports, while promoting the Tour Operator’s brand of tour.
  • Generate interest and learning by encouraging verbal interaction through challenging questions to guide and inform the traveling public, often in foreign languages.
  • Explain in pre-tour briefing and during the tour any regulations, safety concerns (e.g., water, dress, behavior, smoking, heat, etc.) and/or hazards relevant to each place visited.
  • Offer meet & Greet services at airport, or conventions, offering directions, information, and orientation about environment or activities.

PAYMENT

Deposit Required: 50% of total fee due within 30 days of tour departure to reserve date and time. If booked less than 30 days before tour departure date then the Deposit is due immediately upon acceptance of contract. No tour-service dates or times are considered "reserved" until deposit is received into the BTD Tours bank account. Otherwise, the dates are placed on calendar as "Tentative"

Deposit Delays:  incure a 20% increase in the base fee up to 7 days before tour departure dates. If deposit is paid less than 7 days before tour departure dates, then a 35% increase in the base fee applies. Otherwise, the contract is nullified.


Cancellations:  within 2 weeks (or typically half the time remaining from date of booking) of departure requires  a kill-fee of 50% of deposit to compensate for preparation time.

While traveling with group, all Tour Director expenses are understood to be covered by Tour Operator / DMC / DMO - including meals.

TIPS (To Insure Professional Service)
Offered as a Thank-You by passengers as each sees fit.  Each culture/country offers tips differently, little, or not at all.  Tips are never included in quoted rates unless requested but are appreciated.  They help to keep our over-all pricing low.


* To secure  professional service from the Tour Director the Tour Operator pays a just and honest wage for the total hours worked per day.   The Tour Operator's ethical responsibility to pay the Tour Director/Guide a fair-market valued wage for services rendered is greatly appreciated.  Tips and optional commissions are always extras .   Such tips and commissions (at tour’s end) are by chance and not guaranteed for work already accomplished in the reputable business name of the Tour Operator.
